This notice explains what information the Weimaraner Club of the Washington D.C. Area (WCWDCA) collects through this website, why the club uses it and the choices available to members and visitors.

Information we collect
WCWDCA collects information that applicants, members and visitors provide directly to the club. Depending on how you use the site, this may include:
- Your name, spouse or household information, mailing address, telephone number and email address.
- Membership type, voting eligibility, renewal information, sponsor, club interests, dog-related activities and application status.
- Member-directory and newsletter preferences.
- Messages and information submitted through the contact form.
- Documents, photographs or other club content submitted by authorized members or website managers.
The site also records limited technical and administrative information needed for security and operation, such as contact-form submission IP addresses, sign-in and failed-login information, password-reset records and an audit history of certain account and administrative actions.
How the club uses it
WCWDCA uses information to review applications, maintain membership and household records, manage renewals, operate the private member directory, provide protected club documents, respond to questions, administer events and club activities, protect accounts, maintain administrative records and communicate club business.
Member directory
The directory is available only to signed-in members. Members control whether their contact information appears through their profile settings. Directory information is provided for WCWDCA business and member communication and should not be used for commercial solicitation or distributed outside the club.
Email preferences
Members are initially included in club-newsletter delivery and may opt out or opt back in through their profile or the private preference link in a newsletter. Essential account, security and membership-administration messages may still be sent when needed to operate the club.
Cookies and website operation
The site uses an essential session cookie to keep signed-in members authenticated and protect account activity. WCWDCA does not currently use advertising cookies or website analytics. Your browser may connect to service providers used to deliver website fonts and other required resources.
Service providers and disclosures
WCWDCA uses service providers for website hosting, database storage and email delivery. Those providers process information as needed to provide their services. Authorized officers, administrators and website managers receive access according to their club responsibilities.
WCWDCA does not sell or rent membership information. The club may disclose information when a member requests or authorizes it, when reasonably necessary for approved club business, to protect the website or its users, or when required by law.
Payments and external websites
This website does not collect payment-card numbers or PayPal passwords. Payments made by check or through an external payment provider are handled outside this website and are subject to the receiving organization’s or provider’s practices. Links to other websites are governed by those sites’ privacy notices.
Retention
Retention periods depend on the purpose of the record. Membership, application, meeting, financial and administrative records may be retained as needed for current operations, legal or accounting responsibilities and club history. Temporary records may be removed when they are no longer needed. Backups may retain information for a limited additional period.
Security
WCWDCA uses role-based access, individual accounts, protected storage, encrypted website connections and other reasonable safeguards. No website or storage system can guarantee absolute security, so members should use a unique password and promptly report suspected unauthorized access.
Your choices and questions
Members may update many contact details and their directory and newsletter preferences through their profile. To request access to or correction of other club records, ask that an account be deactivated, request deletion where appropriate, or raise a privacy concern, contact WCWDCA through the website. Some information may be retained when required for legitimate club, legal, financial or historical purposes.
Changes to this notice
WCWDCA may revise this notice as the website, club practices or legal requirements change. The effective date above will be updated when a revised notice is posted.
